System Certification

System Certification

The certification of organisation systems is a well known process for most certification bodies and inspection bodies. Easy2Certify has taken it upon itself to create an end-to-end solution, so that Certification and Inspection Bodies can work in ease with these standards. The platform, portals and application of the Easy2Certify System range from a CRM to billing portals. Every standard is different, thus we designed a fitting solution for all standards, ranging from ISO 9001 all the way to ISO 27001.

Easy2Certify Certification Process
Step 1: Application

The process starts with an organization applying for a certification. The organization gets added to the CRM system. An internal file is created about the organization A quote is created for the organization.

Step 2: Review

An auditor reviews the organization and the requested certificate. A report is made about which states the required audits and checklists. This report gets added to the organizations internal file.

Step 3: Submitting documents

If the audit is agreed upon by both parties all the files get exchanged between certification body and the to be certified organization. All the received files will be added to the internal file, for the auditor to review before the audit.

Step 4: Schedule

The audit gets scheduled through the easy to follow scheduling module. The right auditor gets assigned to the right audit. The auditor receives a notification about which audits he has to complete on a day. This notification includes the right checklists and the internal files of the organization.

Step 5: Executing

With the right audit-plan, checklist and internal file the auditor completes the online checklist. This gets saved automatically and imported into the internal file of the organization, so to make sure no information is lost. A report is made from the audit-plan and the completed checklist.

Step 6: Submitting audit report

The audit-plan and checklists get send to the certification body. There the audit is getting ready for a review. The internal file of the organization is now completed and no information is lost in the process.

Step 7: Review

A team of professional auditors review the request of the certification. The standards which are not met will be noted as non-conformities within the final report. This way the information is easily available for the people who need access to it.

Step 8: Decision

A certificate gets granted, revoked or suspended. If the checklist is completed and a standard is not met, a non-conformity report can be send to the organization. This states the standard which is not met, what to do to meet it and how much time they have to do so. If all standards are met, a certificate is automatically created.

One form for all audits

When conducting 4 different audits, it can be hard to manage all the incoming data. This is why Easy2Certify uses a single form for the 4 types of ISO 9001. The initial, 1st, 2nd and extension audit are conducted in the same form. No information will be lost and all the data is managed in the same report form.

Interactive Forms

When an answer is given on a question, extra comment sections pop up for the auditor to fill in. These comments will be reported in the audit reports. When there is no need for a comment, it can be left blank or deactivated.

Integrated Conclusion Form

When the 2nd audit is completed it is possible to fill in the integrated conclusion form, within the audit. The auditor concludes the audit in this form, here he can add the last comments regarding the audit. The comments added to this conclusion form will be transferred automatically to the audit reports.
